Position Summary:
The Project Support Officer provides integral support across the entire project cycle, from planning and implementation through to reporting, while taking on significant responsibility for managing projects across different regions. This role involves working closely with the Project Manager to ensure the smooth execution of all project-related activities across regions. While this position is a support role, it requires a high level of responsibility and active involvement in the preparation of proposals, agreements, and reports. The Project Support Officer works closely with affiliates, regional teams, and funders, ensuring that all aspects of the project cycle are properly managed and deadlines are met. It is a maternity leave cover from 25th August 2025 until 31 May 2026, around nine months.
Key duties and responsibilities:
- Project Planning & Proposal Development:
- Collect and consolidate work plans and budgets from regional affiliates to prepare project proposals.
- Support the Project Manager and regional teams to develop proposals and project activities, ensuring alignment with the IDWF strategic plan and funder requirements, and support in writing and reviewing project proposals, incorporating input from regional teams and partners.
- Project Agreement & Fund Management:
- Prepare project agreements in coordination with the Project Manager, ensuring compliance with funder guidelines and IDWF’s internal rules.
- Liaise with funders to negotiate project terms, deadlines, and installments, ensuring all agreements are clear and actionable.
- Once projects are approved, ensure that funds are transferred to affiliates by managing the agreement process and tracking fund distribution.
- Project Implementation Support:
- Provide technical assistance to affiliates during project implementation, ensuring that they have the support needed to meet project objectives and reporting requirements.
- Work with regional teams to monitor the progress of activities and troubleshoot any challenges as they arise.
- Ensure that affiliates are clear about project expectations, timelines, and reporting requirements.
- Data Collection & Reporting:
- Receive, review and filter reports from Regional Coordinators, ensuring they are aligned with IDWF’s standards before sharing them with the Project Manager and funders. Ensure the accurate and timely submission of project activity and financial reports.
- Provide guidance to regional teams on data collection and reporting, ensuring reports are consistent and comprehensive.
- Project Monitoring & Evaluation (MLE):
- Lead the monitoring and evaluation framework for ongoing projects, ensuring data is tracked and analyzed against project goals.
- Coordinate with the regional teams to ensure that monitoring tools, such as the outcome tracker, are effectively used and that data is collected and submitted regularly.
- Ensure that regional teams are engaged in regular monitoring and reporting, and address any discrepancies or gaps in data collection.
- Funders & Donor Liaison:
- Liaise with funders and donors to ensure clear communication regarding project planning, implementation, and reporting.
- Work with the Project Manager to manage the relationship with funders, keeping them updated on project progress and addressing any concerns.
- Prepare and submit narrative and financial reports to funders on behalf of IDWF, ensuring that all reporting is timely and meets the funder’s requirements.
- Ensure that reports are submitted on time and that any discrepancies or delays are managed proactively.
- General Project Oversight:
- Act as a key point of contact for all aspects of the project cycle, managing the process from proposal preparation to reporting and fund disbursement.
- Support regional teams in navigating deadlines, reporting requirements, and the overall project workflow, ensuring smooth collaboration across regions.
- Act as the “last line” for reviewing reports before submission, ensuring accuracy, clarity, and alignment with project goals and funder expectations
Qualifications:
- A strong commitment to the mission and values of IDWF, with a passion for supporting the rights and advocacy of domestic workers globally.
- Knowledge of practical skills on project management including financial management and reporting on a timely manner
- At least 5 years relevant working experience, in working directly with NGOs, trade unions at the regional or international level
- Good command of oral and written English, command of French or Spanish will be an advantage
- Good communication skills, able to work with people of diverse national and cultural backgrounds

Working hours and location
- 40 hours per week, able to work a flexible schedule, e.g. during evening, weekends and public holiday, subject to the scheduling of activities and needs of organizations.
- This position is to work remotely based in the country where the person resides.
- The ideal candidate will possess experience or a professional background in Latin America.
- The candidate is expected to possess the necessary equipment, tools, devices, or resources to perform the job’s duties.
