Job Title: Accounting Officer
Position Summary: The Accounting Officer (ACO) is a member of the IDWF finance and administrative team to support the General Secretary, Operations Manager and Finance Manager to ensure sound and smooth financial operations of the organization. This position ensures the accurate and timely processing of payments, preparation of vouchers, and compliance with internal policies and donor requirements. This role provides support for reporting and monitoring the financial status of activities, including reviewing expenses from affiliates and ensuring reimbursements are processed correctly. The Accounting Officer also be the point of contact for the financial queries related to activities and budgets and support the submission of tax exemptions and other financial documentation.
Key duties and responsibilities:
- Payment Processing:
- Ensure expense claims submitted by staff/ affiliates are valid (adequately supported by receipts) and calculated accurately, and ensure reimbursements to them are processed promptly.
- Review online payment instructions to ensure that the payments are valid; all supporting documentation is complete and accurate; and they are properly approved, and then seek approval of the General Secretary on the payments in the e-banking system.
- Review & Monitoring of Activity Expense Report Submitted by Affiliates/ Regional Teams:
- Assist in tracking submission of activity expense reports by affiliates/ regional teams, and following up on overdue reports.
- Review the expenses reported by affiliates/ regional teams to ensure they align with project budgets and agreements, and are supported by valid receipts.
- Coordinate with the Project Manager or regional teams for clarification on any questionable expenses or missing documents.
- Review expenses for each activity to ensure they are within the approved budget, and track any overspending or savings.
- Voucher Preparation & Review:
- Coordinate with the Accounting Assistant in timely preparation of payment vouchers, once the payment instructions are processed by the bank.
- Review vouchers for payments and activity expenses reported by affiliates/ regional teams, to ensure that supporting documentation is complete and accurate, and accounting record is correctly updated.
- Financial Reporting & Compliance:
- Assist in the month-end closing process, and preparation of internal financial reports.
- Assist in the preparation of project reports for our funders, and ensure compliance with funder-specific financial reporting requirements.
- Assist in reviewing project financials at consolidated level to ensure they align with approved budget and project agreement with funders, and track any overspending or savings.
- Ensure financial documents, such as vouchers and reports, are properly filed.
- Others
- Support any other duties or assignments of the Finance and Administrative team, for example, assisting in the financial training to affiliates, handling reimbursement at company-wide physical events
Qualification:
- A strong commitment to the mission and values of IDWF, with a passion for supporting the rights and advocacy of domestic workers globally.
- Bachelor’s degree in Financial Accounting, Business Administration or a related field, master is preferred
- A minimum of 6 years of relevant, hands-on experience in accounting.
- Proficient in Google Sheets and Microsoft Excel, as well as accounting software such as Mind Your Own Business (MYOB) and SAGE.
- Excellent numerical aptitude with a keen attention to detail and accuracy.
- Strong communication skills that enable effective engagement with individuals from diverse cultural backgrounds and non-financial stakeholders.
- Proficient in both written and spoken English.
- Prior experience in non-governmental organizations or trade unions is preferred.
Working hours and location:
- It is a full time position, 40 hours per week.
- Expected to work from home and must have their own equipment (computer and necessary software) as well as a stable internet connection.
- Being available immediately is possibly an advantage
Reporting Structure:
- The Accounting Officer reports to the Finance Manager.
